Terms and conditions for group tour bookings

Booking

1. Group tours are offered as a package. Therefore, all services or products that are not included in the package can be purchased at

an additional cost.

2. All seats on the bus are available to the clients except for ones, which have been prepaid in advance and confirmed by our travel agents. 

3. Enrolment in the mini-groups is limited. Please check the availability with Open Up managers.

4. This program is the property of the hosting company - Open Up. Therefore, Open Up is not responsible for the modifications,

adjustments and pricing which have been made by the travel agencies and have not been confirmed by Open Up.

5. In case the clients did not arrive and did not check in with the group in the group hotel the tour will be automatically canceled with a 100% of charge (NO SHOW). The cost of the tour cannot be refunded, complaints will not be accepted. Please check the cancellation policy with Open Up managers when booking a tour in order to avoid any misunderstandings.

 

Accommodation

1. Pricing for the group tours is based on the accommodation in the standard room category. All other room types (higher category, specific view, AC, Jacuzzi) can be arranged at an additional cost and upon request and availability.

2. If the tour takes place during special exhibitions, festivals, conferences, and other events Open Up reserves the right to

accommodate the clients in different hotels, cities, or resorts from the ones which have been proposed in the program. We kindly ask

you to inform the client in regard to possible changes.

3. Hotels in Europe have a standard check-in time of 15:00 PM. Earlier accommodation in the rooms can be provided by the hotel only if

the rooms have been already prepared, therefore it can be requested but not guaranteed. The standard check-out time is 12:00PM.

4. Hotels reserve the right to give upgraded room categories to random guests upon availability. Therefore, Open Up is not responsible for the fact that some of the guests might get an upgraded room and some might not.

Some of the hotels require a refundable deposit in cash at check-in in case guests will take something from the minibar.

5. Most of the organizations in Europe as well as hotels care a lot about the environment and put a lot of effort to reduce any kind of waste

or harmful emissions. That is why most hotels do not have AC in their rooms. In case AC is very important to the clients please notify Open Up managers when booking the tour and we will help you to find a suitable solution. Otherwise, complaints in regard to AC will

not be accepted.

6. Open Up guarantees the star rating of the hotels declared in the program. Open Up does not  guarantee a certain location of the hotel (in the city center, at the lake, etc.)

 

Excursions

1. All excursions start at the exact time confirmed in advance and specified in the program. Complaints in regard to the excursion timing

from clients who had been late for the excursion will be not accepted.

2. Bus leaves from the hotel at the exact time confirmed in advance and specified in the program. Clients who are late for the bus need to arrive at the destination under their own arrangement, liability, and expense.

3. Additional excursions which are not included in the standard package require a specific minimum amount of people and, therefore, might be combined with tourists from different groups.

4. Group for the additional excursions might be multilingual Therefore, the tour guide will repeat the information in several languages.

 

Meals

1. In case you require an early departure from the hotel and breakfast at the hotel restaurant will be still closed at that time, please notify the reception desk and kindly ask for a lunchbox. Open Up is not responsible for the restaurant opening hours in the hotel.

2. Standard breakfast consists of some pastry, eggs, butter, and coffee. In case the clients require some specific products or meals, please notify us when booking the tour and we will check with the hotel if this specific request can be fulfilled. Otherwise, complaints concerning breakfast will not be accepted.

 

Adjustments to the program

1. Open Up reserves the right to make adjustments to the existing program because of circumstances beyond our control: weather conditions, traffic conditions, strikes, health conditions, and others. These kinds of adjustments will be made only to ensure a better experience and security for the clients.

2. Open Up reserves the right to make adjustments to the route of the tour, while retaining 100% of the proposed excursion program.

3. Cities and resorts can be changed based on the number of tourists and room availability in the hotels.

 

Common information to consider

1. Most of the restaurants in Europe are open from 12:00 PM to 14:00 PM and from 18:00 PM to 21:00 PM. All stores have short opening times on Saturday and are closed on Sunday.

2. Tourists are solely responsible for taking care of their own personal belongings. Please do not leave any belongings in the vehicles.

In case something was lost or stolen from the tourists on the streets, in the hotels, in excursion vehicles, and in other places, we will put

the maximum effort in order to help the clients, however, we do not guarantee that these belongings will be found or refunded.
